Data policy of the email signature app
Version firmas-1.0, in force since 4 October 2026.
This policy explains what data the email signature app at apps.planobase.co stores and why. It supplements the personal data policy of Plano Base Arquitectos S.A.S., which governs everything not covered here. The Spanish version prevails.
Who is responsible for your data
Plano Base Arquitectos S.A.S., a company domiciled in Cali, Colombia.
- Tax ID (NIT): 901603373-9.
- Address: Calle 18 # 61-29, Cali, Valle del Cauca, Colombia.
- Email: proyectos@planobase.co
If you just make your signature and copy it, we store nothing
The signature is built in your browser. What you type is not sent to any server, and your logo and photo are cropped and resized on your own device, without being uploaded.
When you copy, the app tells us that a signature was copied, with which design, in which language and whether it was the team template or your own. That notice carries none of your data and is used to count how many signatures are made.
If you save your signature
Only if you press “Save” after ticking the authorization box, which is never pre-ticked. We then store:
- What you typed in the form: name, title, company, tagline, emails, phones, website, address, social profiles, links, the design and the options you chose.
- Your logo and photo, already processed, if you added them.
- When you saved it, when you last changed it and when it was last used.
What for
So that you can edit or delete it again with your private link, without creating an account, and so that your logo and photo show in the emails you send with it.
The private link is the only key: we do not store the key it carries, only a fingerprint used to check it. Anyone who has the link can see, change or delete the signature; keep it as you would a password.
The images in your signature are public by nature: anyone who receives one of your emails sees them, as with any image in an email. We do not show them anywhere else and we do not let search engines index them.
If you subscribe to our publications
Only if you tick that box, which is optional and never pre-ticked. We store your name, email, company, language, the date and the exact text you accepted, to email you the studio’s publications. Every email includes an unsubscribe link, which deletes the record.
To prevent abuse
To limit how many signatures can be saved per day from the same place, we compute a fingerprint of your IP address with a secret that changes every day. We do not store the IP address, and each day’s fingerprints are deleted the next day.
Where it is stored
On the services of Cloudflare, Inc. (the D1 database and R2 storage), acting as data processor. Its servers may be outside Colombia, so saving the signature means transferring that data to another country, which you authorize by ticking the box.
For how long
- The saved signature and its images: until you delete it, or until 24 months go by without it being used (not changed, not opened with its link and none of its images requested by any email). It is then deleted automatically.
- The publications subscription: until you unsubscribe.
- The abuse-prevention fingerprints: one day.
- The counts of copied and saved signatures carry no personal data and are kept indefinitely.
Your rights and how to exercise them
You can delete your saved signature at any time with the “Delete my saved signature” button, shown when you open it with your link. Its data and images are deleted together.
To access, update, correct or delete your data, revoke your authorization or ask for proof of it, write to proyectos@planobase.co. Your rights, response times and procedure are those of the general Plano Base policy, under Colombian Law 1581 of 2012. Since we ask for no account or email to save a signature, to find it we will need your private link or details that identify it.
